Using Magic Placeholders in Bid Package documents

Placeholders are reusable entries made of a Key (label) and a Value (content). They act as shortcuts for common details like company name or project code—update the value once from a single place, and it updates across all documents automatically.

You can insert a Key in a document in two ways:

  1. Insert it from the Placeholders panel.
  2. Type it manually in the format [{Key}].

Step-by-Step Instructions

1. Open the bid package document

Open the specific bid package document where you want to apply or manage Placeholders.

2. Open the Key-Value Pairs panel

Click the Placeholders button (key icon) on the right-hand toolbar to open the panel of available Keys and Values, as shown below:

3. Insert and Use a Placeholder in the Document

You can insert a Key that is already available in the system into your document in two ways:

  • Type the Key directly into the document content in the format [{Key}]. Once you start typing inside this format, suggestions will also appear to help you choose the right Key.
  • Drag and drop the Key from the Placeholders panel into the desired place in the document.

Once you save the document, the Value will automatically replace the Key.

4. Add a Key Directly in the Document

You can also manually insert a new key by typing in the document.

[{Key}]

  • The Key will appear in the Placeholders table until you assign it a Value from there.

Example:

  • Key: BID_DATE
  • Value: August 25, 2025
  • If you insert [{BID_DATE}] into the document and save, it will display as August 25, 2025.

 5. If You Can’t Find the Key, Add a New One

Add a New Placeholder from the Panel

  • In the Placeholder panel, click Add New.
  • Enter the Key (a short, descriptive identifier, e.g., company_name).
  • Enter the Value (e.g., ZurelSoft Inc).
  • Choose the Scope:
    Organization — Global shared Placeholders that can be used in any document of any project.
    Project — Placeholders created for a specific project, available only in the documents of that project.

6. Search for an Existing Key

Type in the Search bar at the top of the panel to quickly locate a specific key—especially useful when your organization or project has many entries.

⚠️ Note

  • Keep keys simple and consistent.
  • Use the color legend to filter keys by Organization, Project, or Unknown; the filtered list is then shown alphabetically for quick access.
  • By clicking on a specific key in the right-hand panel, you can instantly navigate to its position in the document.
